The Role

The goal of the Document Controller role is to coordinate processes within the Quality team including the development and implementation of Quality processes and procedures within the organisation.

Role Requirements

  • Quality experience with integrated document management systems
  • Highly experienced in MS Office
  • Proficient in SharePoint and ACC/ BIM360
  • Ability to prioritise and work well under pressure
  • Manage workload effectively
  • Results orientated
  • Two years Construction Industry experience preferred
  • Strong communication and interpersonal skills
  • Excellent organisational skills
  • Fluency in English both spoken and written is required
  • Full driver’s license essential

Main Job Tasks, Duties and Responsibilities

  • Creation, review, revision and formatting of controlled documents and procedures
  • Maintain and control an up-to-date and organised source for all documents, including physical and digital documents
  • Review, update and document templates, policies and procedures in line with company naming conventions and revision control
  • Responsible for generating reports and metrics related to document management and supporting with items such as, technical reports, monthly progress reports, meeting minutes, meeting agendas, drawings, photographs, consultant reports)
  • Support the distribution of documents to ensure these are shared with the appropriate parties in a timely manner and notification of new revisions are communicated
  • Support the management of permissions and security settings for relevant digital platforms
  • Identify opportunities for continuous improvement and gather feedback from stakeholders to improve systems
  • Coordinate administrative procedures and systems and devise ways to streamline processes under the guidance of the Quality Manager
  • Induction training and support on the functionality of document control software
  • Edit of diagrams and process maps that can be included within controlled documents to illustrate step by step processes and/or workflow as required
  • BCAR documentation management
  • Quality Control / Review and audit of documents for completeness and accuracy while maintaining document workflow and ensuring correct approval process has been adhered to
  • Review and maintain master register and supporting documentation
  • Maintain confidentiality measures, especially for sensitive or confidential documents
  • Responsible for ad-hoc duties/projects as required
